Job Summary:


The Administrative Manager is responsible for overseeing the administrative functions, departmental coordination, and operational efficiency within the operation office. This role ensures smooth day-to-day operations, manages procurement, maintenance, and facilitates work processes to support the institution’s goals.


 

Responsibilities

  • • Supervise and coordinate administrative staff to ensure efficient office operations.
  • • Develop and implement office policies, procedures, and guidelines.
  • • Maintain accurate records, documents, and reports for compliance and regulatory
  • • Handle correspondence, scheduling, and meeting arrangements for management.
  • • Oversee the maintenance, repair, and upkeep of office and common areas.
  • • Coordinate with vendors and service providers for facility management and services 
  • • Manage asset tracking and inventory of office and facility-related supplies.
  • • Handle the purchasing of office supplies, equipment, and necessary materials for academic and operational departments.
  • • Research and negotiate contracts with vendors to ensure cost-effective procurement.
  • • Monitor budgets and ensure proper financial tracking of purchases.
  • • Maintain supplier relationships and ensure timely deliveries and payments.
  • • Streamline workflows across departments to enhance productivity.
  • • Implement technological solutions to improve office efficiency.
  • • Monitor expenses related to office supplies, maintenance, and procurement.
  • • Work with the finance department to ensure proper documentation and cost control.

Work Conditions

  • From 10:00 AM to 7:00 PM.
  • Location: Tharwat- Alexandria.
  • 5 working days.

Requirements

  • • Bachelor’s degree in Business Administration, Management, or a related field.
  • • 3-5 years of experience in office administration, preferably in an educational institute.
  • • Strong knowledge of office operations, procurement, and facility management.
  • • Excellent organizational and multitasking skills.
  • • Strong communication and problem-solving abilities.
  • • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • • English level proficien
